POSITION SUMMARY
The Hewitt School is seeking candidates for an associate director of events and parents’ association liaison as a member of the advancement team. The associate director of events and parents’ association liaison is responsible for optimizing the experience and touchpoints of key stakeholders – defined as prospective families, current parents and extended families, donors, the professional community, and alumnae.
The associate director of events and parents’ association liaison will execute the curation and implementation of all external facing events, defined as an event which includes parents or constituencies outside of the Hewitt student body, but in some cases current students, utilizing careful strategy to advance the mission of The Hewitt School.
The associate director of events and parents’ association liaison will liaise with the Parents’ Association (PA) as their primary contact within the school, supporting all PA events, volunteer efforts, committee meetings, and activities.
Members of the advancement team must have the ability and availability to frequently staff events and meetings in the early morning, evening, and occasionally on weekends. Advanced notice is typically provided.
Reporting to the director of annual giving, the associate director of events and parents’ association liaison is a key member of the advancement team.
ESSENTIAL FUNCTIONS/RESPONSIBILITIES
Event Management
• Collaborate with the advancement team, school leadership, and the Parents’ Association (PA) to curate and facilitate assigned fundraising and community events throughout the year
• Manage event dates, invitations, guest lists, venue selection, vendor oversight, contract negotiation, menu selection, and student and volunteer management for all events assigned (ten major, and approximately thirty minor events per year)
• Attend weekly catering meetings with Hewitt’s on-site dining team
• Comprehensive oversight of the annual benefit, with the goal of reaching, if not exceeding, annual fundraising goals. Responsibilities include volunteer management, auction curation, venue selection, hiring and managing vendors, negotiating contracts, finalizing menu, liaising with the communications office to produce digital, printed, and video content, and day-of oversight
• Management of off-site events at venues and homes throughout New York City, and occasionally outside of New York City
• Consult on, and in some cases attend and oversee, admissions events; diversity, equity and inclusion events; and activities related to the grade 12 experience
Parents’ Association (PA) Liaison
• Serve as primary internal contact for the PA board, leading and inspiring approximately fifteen critical school volunteers
• Represent the parent voice and experience to colleagues within the school
• Attend all PA committee meetings, and sub-committee meetings when necessary
• Facilitate events and activities on behalf of and in partnership with the PA, approximately ten events per year
• Strategize around key volunteer roles and play a part in the management, recruitment, and retention of volunteers throughout the PA
• Oversee the PA budget including accounts billable, contract management and negotiation, and reconciliation
• In collaboration with the PA board, manage payment, inventory, and reconciliation related to the PA merchandise program
• Work with communications on behalf of the PA to compose and send out all PA related communications
• Liaise with academic divisions to ensure correct and timely information is shared with Hewitt parents
Calendar Management
• Primary management of the school calendar including leading the calendar management team (CMT)
• In partnership with the director of technology and campus operations, oversee the calendar related to Hewitt’s major facility rental contracts
• In collaboration with the communications department, ensure all Hewitt event information published in the family and master calendars, and weekly Sunday newsletter, meets editorial style guide standards
• Responsible for managing the external facing online calendar data integration (family calendar) which informs Hewitt families of school events
• Meet with Hewitt’s catering manager on a weekly basis to ensure all event submissions are correct. When necessary, follow-up with faculty and staff on questions related to submissions
QUALIFICATIONS REQUIRED
• Demonstrated commitment to anti-bias education and social justice
• Bachelor’s degree with three to five years of relevant experience
• Ability to handle multiple priorities simultaneously: excellent organizational, technological, and follow-up skills
• High intrinsic motivation and capacity for work, strong interpersonal skills, discretion, flexibility, proactivity, ability to set priorities, sterling independent judgment, and a sense of humor
• Ability to work independently as well as in a team environment that values collaboration and partnership
• Understanding of diversity, equity and inclusivity (DEI) best practices as applied to fundraising activities and proactively engaging with DEI training
• Expertise (i.e. full competency and extensive experience) with Google Suite (Gmail, Google Docs, Google Sheets, Google Slides)
QUALIFICATIONS DESIRED
• Experience with Raisers’ Edge, Veracross, Salesforce, or similar fundraising software programs
• Experience with GiveSmart, BidPal, or similar online bidding softwares
• Experience working with volunteers in any capacity
• Proficient with Mac platforms; comfortable with technology or demonstrated ability to learn quickly
• Proven dedication to professional growth and purpose-driven practice
SALARY RANGE
Starting Salary Range: $65,000 to $80,000 (salary based upon, but not limited to, relevant experience and expertise)
