The Vehicle Maintenance Facilities (VMF) Assistant Supervisor supports the VMF Supervisor in the oversight of repairs and maintenance to United States Antarctic Program (USAP) heavy equipment and light vehicles. Additionally, this position will provide effective planning and leadership to ensure the safe, efficient and productive use of VMF personnel and equipment.
Position Responsibilities:
• Responsible for implementing and maintaining a safe workplace program and ensuring that safety is the highest priority in the workplace.
• Assist the VMF Supervisor in overseeing day-to-day operations and providing a broad range of coordination for the department, including staff scheduling, data management and resource tracking.
• Assist in the management and tracking of labor allocations for all VMF department personnel.
• Ascertain mechanical problems and services by listening to customer’s description of symptoms; clarify description of problems; conducts inspections; takes test drives; checks vehicle maintenance records; examines service schedules.
• Assist with monitoring Maximo work order data to ensure data entry is accurate, timely, and complete. May also assist with Maximo control of material.
• Coordinate with VMF Supervisor and Shop Foreman on asset maintenance priorities and personnel work assignments.
• Assist VMF Supervisor and Shop Foreman with monitoring all work in-progress to ensure quality, timely completion and control of material.
• Perform follow up inspections on equipment as required.
• Document work order progress, maintain records of shop activities and prepare and submit reports as requested.
• Assist with the supervision of the work of all mechanics, and skilled and unskilled labor engaged in the repair and upkeep of USAP Capital Equipment.
• Responsible for ensuring vehicles and equipment are maintained in accordance with manufacturers’ recommendations and industry standards.
• Assist VMF Supervisor in ensuring all departmental documentation and standard operations procedures (SOP’s) are effectively trained to, tracked and documented. Create new SOPs as needed.
• Track data as requested by Operations Manager and/or VMF Supervisor.
• Support the achievement of ASC metrics, whether metrics can be directly or indirectly affected by this position’s activities.
• Provide direct support, using staff resources if necessary, to the achievement of all metrics related to ASC.
• Work with the VMF Supervisor to plan and organize meetings, and arrange essential activities and events in the department, Including but not limited to organizing and conducting daily/weekly safety meetings and maintaining attendance and subject matter documentation.
• Assist VMF Supervisor with the coordination of incoming staff, including documentation packets, training schedules and meet-and-greets upon arrival.
• Help assess skills and manage training levels of new and returning personnel.
• Interact with others in a professional manner, whether by telephone, e-mail, or in-person.
• In coordination with VMF Supervisor, set deadlines and establish the sequence of work operations to be followed; maintain balanced workloads by shifting assignments, workers, and other resources to achieve the most effective work operations necessary to maintain and repair light vehicle and heavy equipment assets of the United States Antarctic Program.
• Assist the VMF Supervisor with reviewing and analyzing work accomplishments, cost, and utilization of subordinates to evaluate work progress, control costs, and anticipate and avoid possible problems by recommending corrective action to upper-level management personnel.
• Ensure all personnel are trained to safely perform their assigned tasks: responsible for helping to develop training and familiarization protocols, as well as tracking and recording training for departmental personnel.
• Assist VMF Supervisor in managing budget and remaining within parameters
• Assist VMF Supervisor in reviewing Annual Program Plan and make recommendations for improvement.
• Assist with determining annual re-supply requirements
• Assist with submitting requisitions and ensuring they are submitted in accordance with schedules, guidelines and policies in order to meet shipping deadlines for annual supply vessel delivery.
• Maintain accurate inventory and ensure adequate materials are on hand for planned activities and tasking
• Conduct interviews and assessments of applicants for VMF contract positions and make hiring recommendations to the VMF Supervisor.
• Develop personnel with succession and retention of long-term knowledge in mind.
• Update job knowledge by participating in educational opportunities; responsible for reading manufacturers’ publications.
• Handle confidential matters (personnel actions, management reports, etc.) in accordance with management guidelines and policies.
• Comply with all ASC Environmental Health & Safety and Quality Assurance requirements and goals and provide documentation to these divisions as necessary to ensure adequate and legal documentation.
• Communicate professionally, both verbally and in writing, with subordinates, station management, and stakeholders to relay information. This includes, but is not limited to, staff meetings, performance appraisals, job requirements, training and familiarization activities, division metrics, projects, quality standard procedures, and safety practices.
• Perform other duties as required.
Required Education, Experience, Certificates and Licenses:
• Bachelor’s degree required. Four years additional relevant work experience combined with High School diploma/GED will be accepted in lieu of degree. Relevant experience to include but not limited to Service Manager, Shop Foreman, Administrative Assistant, and other leadership, management, or assistant management role in the automotive or heavy equipment industry.
• Minimum of 5 years of experience in the automotive or heavy equipment industry with an additional 3 years of experience in a leadership role.

Preferred:
• Previous experience with remote polar operations.
• Experience with Fuel Master (or equivalent fuel management software)
• Experience with an asset management and electronic corrective maintenance program (Maximo preferred).
• Knowledge of mechanical theory applying to commercial and special purpose design vehicles and equipment, using lubricants and tools, methods of hoisting an handling heavy mechanisms, internal combustion engines and electrical and hydraulics systems.
• Familiarity with government supply systems and inventory accounting requirements is strongly preferred.
Physical and/or Other Requirements :
• Willingness and ability to deploy to Antarctica for extended periods
• Successful completion of Medical and Dental examinations required by the NSF for deployment to Antarctica
• Successful completion of Federal Background Check required by the NSF
• Must be willing and able to lift and move items, parts, assemblies, and equipment up to the safety regulation maximum.
• Must be willing and able to perform physical activities including heavy lifting, climbing in and out of equipment, crawling, and working outdoors in extreme cold
• Must participate in community programs, such as “house-mouse” (chores), “daisy-picking” (cleaning-up around the station), recycling efforts & safety objectives.
• Valid Driver’s License issued in the United States
• Must be able to obtain and maintain facility credentials/authorization. Note: US Citizenship is required for facility credentials/authorization at this work location.
