Germantown Friends School seeks an articulate, personable, and efficient professional to provide administrative coordination and support in the Upper School office. The position provides administrative support for the Upper School Director, performing and coordinating a wide variety of tasks to ensure the efficient operation of the division. Serving as a central point of contact for many constituencies (students, teachers, staff, parents, visitors, etc.), the position supports daily office operations through in-person, phone, and extensive email contact. Administrative support and coordination of routine and strategic divisional projects is central to the role, as is scheduling support for the Student Support Services department. We are looking for an individual committed to creating continuity, seeking efficiency, and contributing to the smooth operation of our office and division.
Responsibilities include, but are not limited to:
• Scheduling and organizing events,
• Maintaining the Upper School Director’s appointment calendar
• Maintaining an overview of the division’s calendar and reminding constituencies about divisional events and dates
• Supporting the Upper School Director in coordinating and carrying out operations for the division
• Communicating with parents and faculty in person, on the phone, and via email.
• Answering the phone.
• Helping students and faculty with information and other needs.
• Managing divisional attendance and academic records.
Qualifications:
• Exceptional communication and organization skills.
• Demonstrated ability to meet deadlines in a fast-paced work environment.
• Expertise with core Microsoft Office and Google Workspace for Education tools.
• High degree of efficiency in learning and using technologies for managing data required to support divisional and school administration.
• Proven ability to maintain strict levels of confidentiality within a professional organization as well as identify sensitive and difficult situations that may arise and act accordingly.
• Strong cross-cultural competency skills.
• Bachelor’s degree
• Previous independent school experience is a plus, as is a comfort in interacting with high-school-aged children.
This is a non-exempt, twelve-month position, eligible for benefits (including access to highly attractive tuition remission programs for enrolled students), with hours from 7:30 a.m. to 4:00 p.m., Monday through Friday. Occasional evening and/or weekend hours may be required.
