Job Summary
The Bloomberg Harvard City Leadership Initiative is seeking a Program Coordinator to support the City Support team in the high-level administrative tasks related to program delivery and design. This role is crucial to ensuring the smooth operation of programs. The successful candidate will be responsible for a wide range of tasks, including coordinating and tracking program activities across a diverse portfolio, drafting, developing and updating program materials and conducting program-specific research.
The Program Coordinator will be in a unique position to develop expertise about city leaders across the world. The successful candidate will work on a variety of leadership development programs, support work directly related to cities and be a key member of the City Support team.
Position Description
Reporting to multiple Program Directors for City Support, the Program Coordinator will be responsible for:
Program Coordination
• Support program directors in managing multiple projects.
• Set up and maintain activity tracking to take a view across the City Support portfolio to ensure smooth operation and early detection of risk.
• Coordinate outreach, applications, and follow up with city participants.
• Meet regularly with the Program Director(s) to share updates on program status across the program director’s portfolio.
Activity Tracking and Reporting
• Ensure accuracy of program trackers as programs progress, including updating timelines and milestones.
• Collaborate with program team members across different units (e.g. Executive Education, Curriculum Development) to gather necessary information.
• Identify, communicate, and offer solutions to address any potential risks or delays in program implementation.
• Coordinate program-related meetings, including scheduling, agenda preparation, and documentation of meetings.
• Provide administrative support to program activities as needed, including data entry, file management, and correspondence.
• Produce prompt and timely ad hoc reports as needed by key stakeholders.
Development of Program Materials
• Draft, edit, and format program materials, including guides and manuals, working session plans, and instructional documents.
• Update existing program materials based on feedback and program changes.
• Ensure all documents are consistent with branding and formatting guidelines.
• Proofread all documents for accuracy and clarity.
• Conduct regular reviews to ensure all materials are up-to-date and relevant.
• Implement feedback from stakeholders to improve document quality.
• Work closely with program managers, instructors, and other team members to gather content and information.
Coordination of Program Research/Evaluation Activities
• Collaborate with team members to support program research as needed. Program research activities may include pre-program user experience and needs assessment, and in-program and post-program evaluation.
• Coordinate the implementation of program research activities, which may include surveys, interviews, focus groups, or other data collection methods.
• Analysis and presentation of research findings to present to faculty and funders.
• Document and share city participants’ experiences in programs and stories of the impact of program.
Team Advancement
• Foster and contribute to a culture of excellence grounded in learning, problem-solving, and teamwork.
• Collaborate with colleagues to identify recommendations for programmatic improvements.
Basic Qualifications
3+ years of professional experience in program coordination, project management, or research/administrative support. Internships will count toward experience requirement.
Additional Qualifications And Skills
• Bachelor’s degree in a relevant field (Business Administration, Public Administration, Nonprofit Management, other Social Sciences) strongly preferred.
• Skill in managing multiple diverse activities simultaneously, delivering on commitments, and operating with speed, accuracy, and strong judgment.
• Meticulous attention to detail.
• Proficiency with customer relationship management systems, especially Salesforce, a plus.
• Proven organizational and project management ability.
• Creative problem-solving and analytical skills.
• Ability to navigate ambiguity and build structure for oneself.
• Team player with skill in building and managing relationships with a wide range of stakeholders.
• Strong customer service orientation and persistent follow-through in service of clients.
• The ability to communicate persuasively, concisely, and clearly in speech and writing.
• Entrepreneurial with an enthusiasm for doing whatever it takes to get the job done.

This position is a fully benefits-eligible term appointment ending June 30, 2025, with possibility of renewal.

This is a hybrid position based on our campus in Cambridge, MA. Salary Range : $60,503 – $95,391
Note: Starting salaries typically fall in the lower half of the salary range; however, they are ultimately determined by the scope of the position, the candidate’s relevant experience, and internal equity.
Work Format Details
This is a hybrid position that is based in Massachusetts. Additional details will be discussed during the interview process. All remote work must be performed within one of the Harvard Registered Payroll States, which currently includes Massachusetts, Connecticut, Maine, New Hampshire, Rhode Island, Vermont, Georgia, Illinois, Maryland, New Jersey, New York, Virginia, Washington, and California (CA for exempt positions only). Certain visa types and funding sources may limit work location. Individuals must meet work location sponsorship requirements prior to employment.
