HJF is seeking a Program Coordinator to provide administrative project oversight of a narrower scope under the direction of a supervisor. Coordinates budget and accounting, space management, travel coordination, inventory, and purchasing. Completes more routine tasks independently and relies on guidance from higher Program Manager (PM) levels for more complex tasks.
This position is in support of the Biotechnology High-Performance Computing Software Applications Institute (BHSAI). The mission of the BHSAI is to perform interdisciplinary research, combining physical, computational, and life-science research, to improve the efficiency and efficacy in the development of militarily relevant medical products for Force Health Protection.
The Henry M. Jackson Foundation for the Advancement of Military Medicine (HJF) is a nonprofit organization dedicated to advancing military medicine. We serve military, medical, academic and government clients by administering, managing and supporting preeminent scientific programs that benefit members of the armed forces and civilians alike. Since its founding in 1983, HJF has served as a vital link between the military medical community and its federal and private partners. HJF’s support and administrative capabilities allow military medical researchers and clinicians to maintain their scientific focus and accomplish their research goals.
Responsibilities
• Monitors and coordinates the time-lines and deliverables on multiple awards and contracts.
• Manages the coordination of meetings, to include scheduling, logistics, and facility management.
• Coordinates and approves the initiation and processing of purchase orders, supply sources, work orders and maintenance and renovation requests.
• Formulates and manages tracking matrices for office personnel data, presentations and publications.
• Manages travel arrangements, which includes scheduling transportation and hotel reservations, arranging the schedule of visits, arranging for local transportation, and preparing travel orders and reimbursement.
• Assists in the management of administrative support tasks to include maintaining critical directories, resolution of facility issues, and preparing organizational documentation.
• Assists with recruitment activities including screenings and scheduling of interviews.
• Assists with overseeing the life-cycle of equipment inventory by coordinating the acquisition and deployment and ensuring accurate tracking and reporting.
• Perform other duties as needed.
Qualifications
Education and Experience
• Bachelor’s Degree required.
• Minimum of 0-2 years experience required.
Required Knowledge, Skills and Abilities
• Strong writing skills and be proficient with the Microsoft Office suite.
• Ability to follow directions and work completely independently.
• Possess strong analytical skills, be organized and attentive to detail.
• Exercise sound judgment in solving problems, asks questions, takes initiative.
Physical Capabilities
• Lifting: Requires lifting materials up to 25 lbs.
Work Environment
• This position will take place primarily in an office setting.
