Job Description:
We are seeking a detail-oriented Office Administrator to join our client’s dynamic team. In this role, you will be the backbone of the office, managing crucial administrative and financial tasks. Your primary focus will be on customer invoicing, junior-level accounting duties, and maintaining robust checks and balances in financial processes. You will work closely with the finance team and interface with customers regarding billing matters. Reporting to the Office Manager, you’ll play a key role in ensuring smooth financial operations. The ideal candidate is someone who thrives in a fast-paced environment, has a keen eye for detail, and is passionate about maintaining accurate financial records.
Duties and Responsibilities:
Manage customer invoicing process, ensuring accuracy and timeliness
Assist with junior-level accounting tasks, including data entry and reconciliation
Implement and maintain financial checks and balances
Support payroll operations and related administrative tasks
Handle general office administrative duties as needed
Maintain organized and up-to-date financial records
Collaborate with various departments to gather necessary billing information
Address customer inquiries related to invoicing and payments
Required Experience/Skills:
Proven experience in office administration, with a focus on invoicing and basic accounting
Familiarity with payroll processes and procedures
Proficiency in Microsoft Office Suite, especially Excel
Strong attention to detail and excellent organizational skills
Ability to maintain confidentiality when handling sensitive financial information
Excellent communication skills, both written and verbal
Experience with accounting software (e.g., QuickBooks, Xero)
Ability to work independently and as part of a team
Nice-to-Haves:
Experience in the technical solutions or engineering industry
Knowledge of project-based billing practices
Familiarity with CRM systems
Interest in pursuing further education or certification in accounting or finance
Education:
No degree required
Relevant certifications in accounting or office administration are a plus
Pay & Benefits Summary:
Hourly rate starting at 25/hr +depending on experience.
