Title: Office Administrator
Position Location: This position will be based in ACT’s New York City office; it is not a remote or hybrid position.
Reports to: NY Chapter Director
FLSA Status: Salaried- Non Exempt
Employment Type: Full-time
Hours: Monday-Friday, 10 am- 6 pm.
Salary: The baseline salary for this position is $55,000; additional compensation is negotiable based on experience.

ACT empowers African immigrants to integrate socially, get ahead economically, and engage civically. We develop our members as grassroots leaders who take action to make social change. Since its founding, ACT has supported thousands of African immigrants with direct services, trained hundreds of new leaders, and led successful policy campaigns at the federal, state, and local levels that have impacted hundreds of thousands of immigrants. ACT’s African immigrant membership comes from a diverse range of nationalities, cultures, and languages, is religiously diverse, and is predominantly working-class and low-income. We have offices in New York City and the Washington, D.C. metro area.
Position Description
ACT is seeking a skilled and reliable Office Administrator to provide administrative and operational support to our New York City office. The Office Administrator will report to the New York Chapter Director. Qualified candidates will have previous experience in a similar role and the ability to multitask.
Key Responsibilities Include
• Greet and assist visitors, respond to requests for services, complete intake forms, and refer clients to appropriate departments (Legal, Navigation, or Organizing Department) based on their needs.
• Screen phone calls and route callers to the appropriate party.
• Handle incoming and outgoing mail and deliveries.
• Check and respond to the organization’s general inbox.
• Maintain polite, empathetic, and professional communication in person as well as via phone, e-mail, and mail.
• Complete administrative tasks, such as filing, photocopying, mailing, and completing required forms and reports.
• Ensure the physical office space is organized, professional, and welcoming, including organizing and maintaining the storage and filing systems.
• Oversee the office’s maintenance, including liaising with custodial staff and building management for service requests and troubleshooting issues.
• Collaborate with Operations manager to coordinate in-person office events, arranging catering and organizing logistics, including set-up and clean-up.
• Track and maintain inventory; work with Operations Manager to order office supplies and equipment.
• Manage the office petty cash fund, ensuring that all expenses are properly documented.
• Participate in staff meetings.
• Anticipate the needs of other staff and clients to ensure seamless and efficient operations.
• Other duties as assigned.
Qualifications
• Minimum of High school diploma or equivalent.
• Minimum of 2 years’ experience in a professional office setting required.
• Bilingual fluency in English and French is required, fluency in additional African languages, especially those commonly spoken in West Africa, is highly desirable.
• Excellent digital literacy and proficiency with technology, including Microsoft Office suite, Google Workspace products (Gmail, Google Docs, etc.), and using the internet to find business information.
• Excellent verbal and written communication skills.
• Ability to prioritize tasks and to delegate them when appropriate.
• Detail-oriented, highly organized, and proactive, with an ability to manage multiple tasks simultaneously.
• Demonstrated reliability and punctuality in previous roles.
• Positive, professional communication style, helpful attitude, and concern for the well-being and dignity of ACT’s African immigrant members and clients.
• A passion for ACT’s mission and demonstrated commitment to community-centered immigrant justice.
Physical Requirements
• Prolonged periods sitting at a desk and working on a computer.
