Job Title: Marketing Administrative Assistant
Reports To: Marketing Manager
Location: Newport Beach, Los Angeles, or San Diego
Position Summary:
We’re seeking a highly organized and motivated Marketing Administrative Assistant to support our regional
marketing department. The ideal candidate will support and contribute to a variety of administrative and
marketing activities across Newport Beach, Los Angeles, San Diego, and Las Vegas. These include event
planning, travel accommodations, payment processing, merchandise/supply orders, and the production of
marketing deliverables. This position will work closely with the marketing team to support sales, events,
communication, and multi-media efforts.
Key Responsibilities
Coordination of Departmental Activities
• Assist with the planning team, cross-functional, and external offsites.
• Assist with internal meeting support, scheduling, and hosting.
• Maintain SWAG inventory and organize office materials/supplies.
• Manage the departmental calendar for key activities, events, and team celebrations.
• Provide full-service support for all financial payments including processing check
requests/invoices, coding p-card (purchase card) payments, and budget tracking.
• Assist with onboarding new hire tasks for the department.
Assists with Departmental Deliverables
• Provide administrative support in the project qualification and proposal process including the company
and project-specific information.
• Assist in printing, binding, mailing, etc. of deliverables.
• Support the coordination of events including trade shows/conferences, client appreciation events, golf
tournaments, and open houses.
• Support the execution of marketing campaigns and projects.
• Serve as a point of contact for internal and external communications, relaying messages, fielding
inquiries, and maintaining professional relationships.
• Organize and maintain digital marketing assets, including images, videos, and graphics, ensuring
easy access and version control for team members.
Qualifications
• Bachelor’s degree in Communications, Marketing, Business, English, or a related field.
• 0-2 years of administrative support experience.
• Desktop proficiency in all Microsoft applications, especially Word, Excel, Forms and PowerPoint.
• Strong written and verbal skills.
• Strict attention to detail.
• Exceptional organization skills.
• Ability to balance workload, prioritize projects and work under tight deadlines.
• Self-reliant, self-starter and multi-tasker.
• Positive thinker.

For Southern California locations only, the hourly rate for this position is: $22.00-33.00 depending on experience. This does not include possible bonus and other benefits which can impact total compensation.
