Within our Northwest Region, our WTR Business Unit is looking to quickly hire up a Finance and Contracts Administrator in support of our growing project portfolio.
The Finance & Contracts Administrator position will be trusted to provide efficient, accurate, and reliable support to Project Managers for price proposal development, contract review administration, project initiation, invoicing, collections, subcontract administration, and project closeout. Qualified candidates will have relevant experience in the architect/engineering consultant industry and will be prepared to step in quickly, effectively and with minimal training to allow our Project Managers to immediately and actively engage support. This position offers multiple growth opportunities in both contract administration and project management.

Your Role
The Finance & Contracts Administrator will help the NW Operations & Project Teams deliver successful projects for our clients and achieve annual performance goals by assisting with and positively influencing:
• Fee Proposals – help Project Managers with billing rate table development, pricing template creation and review, consolidation of price proposal input across team members, profitability review.
• Contract Review Administration – help Office Manager ensure that established contract/bid review procedures are followed, properly documented, and contract signatures are happening in a timely manner.
• Project/Proposal Initiation/Closeout – help Project Managers prepare initiation forms, build work breakdown structures, set up projects in accounting system, maintain contracting records, finance/contracts closeouts.
• Subcontract Administration – help Project Managers with subcontract preparation, monthly invoice review, cost accruals, payments, insurance certificates, health & safety records.
• Invoicing and Collections – help Project Managers ensure all costs are invoiced in a timely manner and consistent with contract terms, interface with corporate billers, communicate with clients as needed for collections.
• Project Reviews- assist with the financial components of routine project reviews, provide assistance as needed for resolution of issues, call attention to financial red flags (budget overruns, aging unbilled balances, slow collections), and gather information from PM/Project Controls on project challenges or deviations from workplans that may require evaluation of potential financial impacts.
• Operations Support– support efforts to ensure a productive regional team and balanced workload such as backlog analysis, productivity forecasting, load levelling.
• Teamwork – maintains positive and productive working relationships and open lines of communication with Project Managers, Office/Ops Managers, Finance/Contracts team, Technical staff and Administrative staff. Will occasionally serve as backup to other Finance/Contract Administrators, Project Assistants, or Office Administrators to help balance workloads and provide vacation coverage.
• Other duties as assigned.
Qualifications
• Bachelor’s Degree plus a minimum 3 years of experience in project administration in the AE community.
• Advanced proficiency in Microsoft Office (Word, Excel, PowerPoint Outlook Teams)
• Must be organized, a resourceful problem-solver, a reliable team player, demonstrate high attention to detail and a commitment to accuracy, and have the self-initiative to follow-through on tasks until completion.
• Must have excellent communication skills (verbal and written) and strong interpersonal communication skills to interact with diverse personalities.
• Ability to multi-task and prioritize conflicting demands in a deadline-driven and at times highly demanding situations. This is an interactive position, therefore individual must have a positive, calm, and professional attitude while dealing with staff and clients in person, over the phone, and by email. Portray a positive professional image for the company.
• A high level of integrity and discretion in handling confidential information and professionalism in dealing with leaders is expected.
• Willingness to occasionally travel to regional offices to attend weekly staff meetings, project meetings or facilitate/attend training.
• This is currently a hybrid (in office/remote) position, based in the Seattle office and with regular visits to the Bellevue office. In office attendance will be required a minimum of 3 days per week, depending on supervisor requirements/priorities.

The hourly wage for this position is approximately $28.85/hr to $38.47/hr depending on education, qualifications, experience, and work location.
