EightPM operates offices in Austin, TX; Los Angeles, CA; London, UK; and just opened a new location in Singapore this month. As an Administrative Manager, you’ll be joining our Los Angeles team, always acting in the best interest of EightPM and ensuring the values of our people-first culture so that we can continue to grow our fantastic team!
ROLES & RESPONSIBILITIES
Overview: This role is pivotal to the company’s success, ensuring the seamless day-to-day operations while providing strategic counsel and support to team members and executives. You will be responsible for managing and maintaining the daily operations, including but not limited to finance, human resources, legal, social media, and executive assistance for both business-related and personal tasks.
Office Management: You will manage and streamline office operations and administrative procedures to ensure efficiency across all four office locations. This includes overseeing the ordering and management of office supplies, ensuring that all operational needs are met efficiently and effectively.
Financial Management: You will assist in managing financial tasks such as payroll processing, bookkeeping, and maintaining financial records to support the finance department.
Human Resources: You will assist in recruitment, onboarding, employee relations, and performance management. Additionally, you will coordinate training programs and professional development opportunities to enhance employee skills and career growth.
Executive Support: You will provide comprehensive administrative support to C-level executives, including managing schedules, organizing meetings, and handling sensitive information. Your role will be crucial in ensuring that executives can focus on strategic initiatives while relying on your support for their administrative needs.
Social Media Management: You will assist with the creation and scheduling of social media posts, monitor social media accounts, and respond to basic inquiries. Coordination with the marketing team to ensure consistency in messaging will be essential. Additionally, you will handle administrative tasks related to social media, such as tracking analytics and maintaining content calendars.
Collaboration: You will work closely with various managers and departments to provide operational support and enhance departmental efficiency. Through meticulous administrative assistance, you will help streamline processes and improve overall functionality.
REQUIREMENTS
• 5-7 years of experience in a senior administrative role required, ideally involving substantial responsibilities in office management, executive support, financial operations, and human resources
• Experience in supporting international offices and teams across multiple time zones is preferred
• Demonstrated ability to effectively manage multiple priorities
• Proficiency in administrative and financial management software, with the ability to quickly adapt to new technologies
• Proven experience in social media management, including content creation, scheduling, and analytics tracking
• Proficiency in social media platforms and management tools
• Excellent problem-solving skills, capable of managing complex business activities in a multicultural environment
• Strong interpersonal and communication skills, capable of working effectively across different cultures and regions
• Reliable transportation and residency in the greater Los Angeles, specifically Hollywood, area are required as this is a hybrid position
