The Opportunity
We are seeking a highly organized and detail-oriented Administrative Assistant to join our Individual Giving Team. This role is crucial in providing comprehensive administrative support to our team members, which includes major gifts, annual giving, and reunion fundraising. Key Responsibilities
• Administrative Support: Assist the Individual Giving Team and the broader Law School AAD team with various administrative tasks, including but not limited to data entry, calendaring, etc., to ensuring smooth and efficient operations.
• Budget Management: Oversee budget-related activities, including tracking expenditures and ensuring compliance with financial policies.
• Travel Arrangements: Coordinate travel logistics for team members, including booking flights, accommodations, and transportation.
• Meeting Coordination: Schedule and organize meetings, prepare agendas, and ensure all necessary materials are available.
• Data Management: Generate complex reports and biographical information using PeopleSoft, and maintain accurate and up-to-date database information.
• Research Support: Conduct research and provide biographical information as needed to support fundraising activities.
• Committee Coordination: Provide support for alumni committees, including the Leadership Annual Giving Committee, Regional Committees, and Reunion Committee. Assist with meeting coordination, communications, and logistics.
• Inventory Control: Manage and maintain inventory of materials and supplies for the Individual Giving Team.
This is a full-time (39 hours/week) endowed position that is based in Ithaca, NY. This position will allow for hybrid work arrangement after a period of orientation and training. This hybrid work arrangement will include working remotely 1-2 days per week. This schedule is subject to change at any time. Typical work hours are 8:30am-5pm Monday through Friday.
What You Need
We are looking for a team member who is self-motivated, positive, proactive, and collaborative. Additionally, you will:
• Hold an Associate’s degree with 2-4 years of relevant experience in an office environment, or equivalent combination.
• Have comprehensive knowledge of Microsoft Office products, including Excel.
• Be experienced at database management experience and customer service.
• Have strong interpersonal skills and effective communication skills.
• Demonstrate ability to work independently.
• Exercise strong judgment and conduct oneself in a professional and ethical manner.
• Cultivate and develop inclusive and equitable working relationships with students, faculty, staff, and community members.
• Be able to work with highly sensitive and confidential information.
• Be well-organized, detail-oriented, team player, and possess the ability to project manage and adapt to changes with a high level of competency and professionalism.
• Possess a flexible mindset to enjoy unforeseen challenges that arise and thrive in a complex, fast-moving, deadline-driven, and dynamic environment.

Qualifications

• 4+ years of experience
• Experience working in advancement, marketing, communications, or sales environments.

• This position is eligible for a hybrid work arrangement. Employees typically perform this role remotely 1-2 days per week. The university reserves the right to modify, suspend, revoke or terminate the hybrid work arrangement at any time.
• This position is based in Ithaca, New York. Employees who work remotely may receive multiple W-2 Forms depending on their work location. The New York Convenience of employer guidelines require New York State individual tax reporting and withholding for this position. Additional individual state income tax filings may also be required if working temporarily outside of New York State.
