Description
We are offering a contract employment opportunity for an Administrative Assistant in the construction industry, based in Deerfield Beach, Florida. In this role, you will be instrumental in coordinating administrative functions of our projects and acting as a liaison within our team.
Responsibilities
• Track and manage changes in project orders.
• Oversee the processing and distribution of submittals as needed, ensuring timely execution of tasks.
• Manage and distribute plan revisions and bulletins as necessary, keeping all stakeholders informed of updates.
• Ensure subcontractor and vendor compliance, including insurance verification and site access authorization.
• Handle shipping of plans and material samples as requested, ensuring safe and timely delivery.
• Process requests for information when necessary, providing clear and accurate responses.
• Maintain accurate and up-to-date files of all relevant documents, ensuring easy access and reference.
Skills
• Proficient in Microsoft Word, Excel, Outlook, and PowerPoint
• Excellent customer service and communication skills
• Ability to handle inbound and outbound calls
• Experience in data entry and email correspondence
• Ability to schedule appointments efficiently and effectively
Requirements
• Proficiency in Microsoft Office Suite including Microsoft Excel, Microsoft Outlook, Microsoft PowerPoint, and Microsoft Word.
• Experience with answering inbound and outbound calls in a detail oriented manner.
• Excellent customer service skills with a proven track record of handling customer queries and complaints.
• Ability to perform data entry tasks with high accuracy and attention to detail.
• Experience in managing email correspondence and maintaining detail oriented communication.
• Ability to schedule appointments effectively, managing calendars of multiple team members if necessary.
• Prior experience in a construction or contractor industry is beneficial but not mandatory.
• Strong organizational skills with the ability to prioritize tasks and manage time effectively.
• Excellent written and verbal communication skills.
• Ability to work in a team and collaborate effectively with different departments.
• High school diploma or equivalent; further education in Office Administration will be a plus.
