Job Summary:
Provides administrative and clerical support for the Cardiovascular Services department. Responsibilities include clerical, bookkeeping, and registration duties, organizing and maintaining appropriate documentation for departmental processes, managing documentation for departmental travel and budget, supporting electronic employee timecard management, collating data for reports, supporting internal and external communications, receiving visitors, scheduling and minute-taking of meetings, and conducting special projects as assigned. Duties require a thorough knowledge of areas of responsibility in order to prepare reports, manage communications, and conduct projects. Must be able to handle a fast-paced environment, prioritize, and remain poised and professional.
Education/Experience
• HS Diploma or GED required
• 1-2 years of experience in a fast paced environment
• Strong technical skills, ability to edit/draft communications on leaders’ behalf; maintain confidentiality. Knowledge of medical terminology preferred.
• Experience within a hospital setting preferred
• Work requires skills related to organization, communication, planning, effective documentation, data management and using technology to support departmental processes. Technology proficiency is required for preparing administrative reports, and developing and overseeing the maintenance of electronic record keeping and filing systems.
• Proficiency in operation of a personal computer and telephone, Microsoft suite, in particular Word, Excel, and Powerpoint and Adobe Acrobat.
• Previous work experience required in an administrative/clerical capacity that require the handling of administrative details such as preparing reports by combining confidential data from several sources; communicating with a diverse group of internal and external callers and visitors; arranging meetings and conferences; assembling highly confidential and sensitive information; formatting forms and reports; and developing routine responses to a variety of correspondences.
• Must be able to handle a fast-paced environment in a confident, professional manner. Must be a self-motivator, possessing a high level of judgment skills and initiative, along with ability to prioritize and coordinate several tasks simultaneously, while retaining a confident, knowledgeable and helpful demeanor.
