Summary
The Administrative Assistant performs a variety of administrative and staff support duties for the Dining Services department.
Responsibilities
• Greets and directs visitors; resolves routine administrative problems and answers inquiries concerning activities and operations of department; accepts, screens, and routes telephone calls; maintains log of inquiries as required.
• Performs a wide variety of typical office duties, often confidential in nature. Maintains files, records, and other documents. Arranges meetings, maintains office calendars, and schedules, and manages office supplies.
• Generates reports and tracks operational and financial data.
• Provides administrative support function to the hiring and separating employees. Assists with onboarding and logistics; screens applicants and assists with interviewing process.
• Supports the Director and Executive Chef in general department administrative needs.
• Oversees and reconciles payroll records for all Dining Services units.
• Tracks employee benefits, attendance, and schedules; maintains training records for all dining positions; coordinates department and Human Resources communications.
• Monitors employee attendance and coordinates corrective actions with managers.
• Performs other duties as assigned.

• General knowledge of Microsoft Office Suite and ability to learn event scheduling software and others.
Education & Experience
• A high school diploma or GED.
• 1 year’s experience in administrative support functions in an office setting.
Work Hours
• Full-time, non-exempt position
• Monday – Friday, 8:30 a.m. – 5:30 p.m.; 8 hrs./day; 40 hrs./week; occasional weekends as required
• This position is designated as essential personnel and is subject to work outside the normal work schedule on an emergency basis and also subject to planned overtime work as required by the immediate supervisor
Salary Structure
Pay Grade 3 (Hiring Range $16.81 to $19.75 per hour)
