Description
We are seeking an Administrative Assistant to become an integral part of our team in the Machinery Manufacturing industry located in Punta Gorda, Florida. This role offers a contract to hire employment opportunity, where you will primarily be responsible for providing administrative support, handling customer service inquiries, and maintaining accurate records.
Responsibilities
• Serve as the first point of contact, answering inbound calls and providing exceptional customer service
• Perform data entry tasks and maintain customer records accurately
• Handle and distribute incoming mail on a regular basis
• Assist in receiving documents from shipping/receiving departments
• Utilize Microsoft Excel, Word, and other software to manage information
• Ensure all documents are scanned and filed accurately, as per industry regulations
• Provide necessary information to the administrative accounting department
• Schedule appointments and manage calendars when necessary
• Maintain a professional demeanor and adhere to the business casual dress code
• Demonstrate a high level of attention to detail in all tasks.
Requirements
• Proficient in Microsoft Office Suite, including Microsoft Excel, Microsoft Outlook, Microsoft PowerPoint, and Microsoft Word
• Experience in answering inbound calls and making outbound calls
• Strong customer service skills and ability to interact professionally with clients
• Ability to perform data entry tasks with accuracy and attention to detail
• Experience in email correspondence, able to compose and respond to emails in a timely manner
• Ability to schedule appointments and manage calendars efficiently
• Experience in distributing incoming mail to appropriate recipients within the organization
• Proficient in scanning documents and maintaining an organized digital filing system
• Experience in filing documents and maintaining an organized physical filing system
• Previous experience in a machinery manufacturing industry is a plus
• Strong organizational skills and ability to multitask effectively
• Excellent written and verbal communication skills
• Ability to work independently and as part of a team
• High level of professionalism and ability to maintain confidentiality of sensitive information.
