We are offering a contract to hire employment opportunity for an Administrative Assistant in Bradley, IL. This role involves providing a range of administrative and staff support services to our team, playing a crucial role in maintaining the smooth and efficient operations of our organization.
Responsibilities
• Accurately process and maintain electronic and paper files, ensuring that all relevant information is properly documented and easily accessible.
• Efficiently schedule meetings and maintain calendars, enabling the smooth flow of operations and ensuring that all team members are aware of upcoming events and deadlines.
• Handle incoming mail and answer phone calls, ensuring that all communications are dealt with in a timely and professional manner.
• Prepare and control records, statistics, and reports regarding operations and personnel changes, providing accurate and up-to-date information for decision-making processes.
• Assist in the preparation and control of budget activities, helping to ensure that all financial operations are carried out effectively and efficiently.
• Serve as an administrative liaison with other teams within and outside the organization, facilitating effective communication and cooperation.
• Administer various programs, projects, and/or processes specific to the operating unit served, ensuring that all tasks are carried out to the highest standard.
• Provide support services and training to other employees as needed, contributing to the development of a skilled and efficient team.
• Carry out other duties as assigned, demonstrating flexibility and commitment to the role.
Requirements
• Proficiency in performing clerical duties such as filing, typing, copying, binding, scanning, etc.
• Proven experience in handling inbound calls, providing customer support and relaying detailed messages.
• Ability to schedule meetings and maintain an organized calendar for the team.
• Strong knowledge of consumer electronics to aid in troubleshooting office equipment.
• Skills in facility management and liaison duties, ensuring smooth operations of day-to-day activities.
• Proficient in word processing and other office software to create documents, spreadsheets, and presentations.
• Solid understanding of budget management to assist in tracking department finances.
• Ability to maintain paper files in an organized and accessible manner.
• Experience in providing support services to a team or department.
• Good understanding of statistical concepts for report generation and data analysis.
• Proficiency in managing operations and ensuring efficiency in all administrative procedures.
