Overview
PURPOSE:
To provide administrative support to the EHS department.
ESSENTIAL JOB FUNCTIONS:
• Carry out daily office operations including (but not limited to) the open/close office at beginning/end of business day, answer/transfer phone calls, deliver messages, distribute incoming/outgoing mail for office, process invoices and assign fleet vehicles.
• Repetitive data entry on Excel, Word, and Doc-link to update and process training forms/certificates/material and vehicle maintenance log.
• Process weekly office orders, monthly expense reports, and yearly subscription/membership renewals.
• Track and follow up on quarterly inspection reports for 70+ inspections per quarter.
• Process payment/registration/travel arrangements for trainings, seminars, and conferences.
• Assist office personnel with training preparation and lunch arrangements.
• Assist in pricing and purchasing necessary equipment for all departments.
• All other duties as assigned.
PHYSICAL REQUIREMENTS:
Must be able to remain in a stationary position throughout most of the working day. Ability to move about inside the office. Able to operate a computer and other office productivity equipment. Must be able to lift up to 10lbs.

JOB QUALIFICATIONS:
• High school diploma required.
• Minimum of 1 year working experience in a professional administrative-related capacity.
• Must be computer literate with good working knowledge of Microsoft products including Word, Excel, Outlook, and PowerPoint.
• Knowledge of company databases such as Citrix Doc-Link, UltiPro, GIS and Infor a plus.
• Must be trustworthy, dependable, and professional with the capacity to work well under pressure.
• Able to work with minimal supervision and maintain strictest confidentiality.
• Must be punctual, organized and detail oriented.
• Have excellent people skills, a congenial attitude, and a professional appearance for regular interaction with employees, customers, vendors, and co-workers.
• Must demonstrate excellent verbal and written communication skill.
• Remote work not available for this position.
• Bilingual in English/Spanish a plus.
• Must have the ability to travel to all facilities if/when necessary.
• Must have a valid driver’s license with a clean DMV driving records.
• Must pass pre-placement drug/alcohol screen, physical and functional capacity evaluation. Must pass background check.
