Position Summary: The Special Coordinator under the direction of the Executive Director of Organizational Development, Talent and Culture (ODTC), in the office of Diversity, Equity, Inclusion and Belonging (DEIB) with latitude for independent initiative and judgment, performs highly responsible work. The Special Coordinator provides efficient technical assistance in the administration, operations, communications and special projects for ODTC including managing the ODTC mailbox and other projects such as the Employee Resource Group SharePoint and WeLearn platforms. The Special Coordinator advises, assists and supports the Executive Director and ODTC Team on various projects supporting the mission and vision of ODTC, which is to build and sustain a community of leaders and central staff to be our best selves in service of students while also cultivating an organizational environment that celebrates and is responsive to diversity, equity, inclusion and belonging. The Special Coordinator supports strategic priorities and initiatives, while coordinating with internal stakeholders to complete relevant administrative tasks. Performs related work.

Key Relationships: Works closely with the Executive Director and ODTC team to ensure smooth and efficient operations and administration. Maintains regular and ongoing contact with leaders across various offices to build and foster a continuous communication alignment within DEIB.
Responsibilities
• Coordinates communication with other offices to assist with ODTC collaborative efforts using and maintaining distribution lists, etc. Manages appropriate distribution lists in partnership with other DEIB offices.
• Researches and prepares documents and videos for the Meet the Moment toolkit so it is continuously enhanced. Ensures that all reviews are coordinated and obtained before distribution.
• Creates and manages project plans for all DEIB initiatives, including a calendar of events throughout the school year.
• Prepares for key meetings and manages, facilitates, and organizes projects for Organizational Development programs to ensure follow-ups and timely completion of reports and deliverables from staff and partners.
• Supports in data collection, data entry, and evaluation of training and events.
• Serves as a primary point of contact to external and internal stakeholders by handling and crafting correspondence.
• Works independently to develop and maintain clear, consistent and professional relationships with all partners.
• Assists in the development, creation and implementation of onboarding strategies for hiring managers.
• Schedules meetings involving numerous stakeholders.
• Monitors and responds to the ODTC mailbox inquiries promptly; responses may include complex and confidential issues.
Qualification Requirements
Minimum
• A baccalaureate degree from an accredited college and two (2) years of experience in community work or community centered activities in an area related to the duties described above; or
• High school graduation or equivalent and six (6) years of experience in community work or community centered activities in an area related to the duties as described above; or
• Education and/or experience which is equivalent to “1” or “2” above. However, all candidates must have at least one (1) year of experience as described in “1” above.
Preferred
• Extremely organized, able to work under pressure and meet frequent and changing deadlines.
• Capable and detail-oriented multitasker who can prioritize and remain professional in demanding situations.
• Excellent interpersonal skills in dealing with senior staff, New York City Public Schools (NYCPS) and City administrators, internal and external to the NYCPS.
• Strong spoken and written communication skills and the ability to present information and figures clearly, concisely and logically.
• Strong project management, organizational and creative problem-solving skills.
• Attentive to detail and extremely well-organized.
• Ability to work effectively as part of a team.
• Proficient in Microsoft Office Applications, e.g., Outlook, Word, Excel and PowerPoint.
Salary: $82,000 – $91,000
(Internal candidates who are selected for this position and who currently hold comparable or less senior positions within the DOE will not earn less than their current salary.)
